Knights Property Management Privacy Notice
At KPM we aim to deal with the data that we hold fairly and lawfully. This page has information about the data held by us, how it is used, and what you can do if you want it deleted.
Personal data on our systems
If you are in our system as a contact, the entry will normally have been created from information provided by you, for example when you applied for a tenancy or registered with us for property management. We do not buy contacts lists and we have never sold any of the information we hold about people to third parties.
Data is held for the following purposes:
- To allow us to identify our customers and hold records required for Right to Rent checks, Tenant Referencing and Money Laundering purposes.
- To help us provide Landlords and Tenants with statements showing transactions on the tenancy.
- To allow us to provide information to relevant local authorities and utility companies as part of the process when commencing and ceasing tenancies.
- To allow us to send information about properties we are offering to rent.
- To enable us to prepare Tenancy agreements.
Information is mostly held in our software programme Jupix and on files held on our computers. Other manual files hold some signed documents and other information.
if you have made an application for a reference, your information will also be held by the processor, Vouch. Please note that we do not have control over the information retained by this company and for security reasons we do not have access to their databases. This is standard.
Unsubscribing and coming off our database
If you want to stop receiving ANY mailings you can contact us by email firstname.lastname@example.org. We will delete your email address from our records
If you want us to delete your details from our system you will need to contact us. We will in most cases need to retain most of the information we hold if you are a current tenant or landlord, but we will gladly review what we hold and delete all that we legally can. As a matter of course, we will delete all details on tenancies which have ended within 7 years of cessation – or earlier if requested. We will likewise delete all details relating to landlords that we no longer act for within 7 years of them leaving – or earlier if requested.
If you have asked to be removed from mailings but then get another mailing from us - apologies. Accidents do happen sometimes. If so, please send an email to email@example.com and we will check and make sure you are properly unsubscribed.
Visitors to our website
We do not normally make any attempt to find out the identities of those visiting our website.
We use various social media organisations such as Facebook and Twitter in compliance with the relevant organisations own terms and conditions.
